Terms of use
Last revised: 1 October 2026
SmartHub is a work tool: a company’s team uses it to clock in, request time off, check payslips and expenses, and talk to each other. These terms say who can get in, how an account is obtained and what is expected of whoever uses it.
Nobody signs up here
Your company creates the account. HR invites you with your work email, and that invitation is the only way in. There is no open sign-up, which is why the sign-in screen does not offer to create an account: that door does not exist.
If you do not have access and believe you should, it is not something that can be fixed from here: it is given to you by whoever runs people management at your company.
Who provides the service
In compliance with article 10 of Spanish Act 34/2002 (LSSI-CE):
- Company name: SmartHubCRM, S.L.
- Tax ID: B05593355
- Registered address: Avenida de los Apóstoles 3, 1.º B, 28011 Madrid, Spain
- Contact: direccion@smarthubcrm.com
Your company is the one that contracts the tool and decides what is done with its team’s data; we operate it on its behalf.
Who owns what you see
SmartHub — its code, its design, its name and its documentation — belongs to SmartHubCRM SL. Being able to use it gives you no rights over it: it is not to be copied, decompiled or resold.
The data is a different matter and is not ours: it belongs to your company and to you. We only store it and serve it.
Your account is yours
You sign in with your own identity — your Google account, your Apple ID, or the password you set when you accepted the invitation. It is not shared: whatever is done with your account is done in your name, and in a tool where people clock in and time off gets approved, that matters.
If you think someone else has signed in as you, tell your company as soon as possible so they can close it.
What is expected of whoever gets in
That they use the tool for their work. What is inside — records, payslips, conversations, documents — is information belonging to the company and to its people: it is not copied outside, not passed around and not used for anything else.
Clocking in is a legal record. Clocking in for someone else, or writing down a time that is not the real one, is not a shortcut: it is falsifying a record the company is required to keep.
Availability
We work to keep it always available, but there can be outages for maintenance or because of a fault. If the service is down, the time record does not disappear: it can be entered afterwards, and it is recorded that it was corrected and by whom.
When you leave the company
Access is closed, because the account belongs to the employment relationship. Your data is not deleted at the same time: the company is required to keep some of it — the time record, for four years — and those periods are in the privacy policy.
Filings with Social Security and the SEPE
If the company uploads its RED authorised-user certificate or its company certificate to SmartHub, SmartHub uses it only to file the procedures for its staff that are prepared here, under the terms accepted by whoever uploads it, which form part of the data processing agreement.
By default, each filing waits for someone to review it before it is submitted. The company administrator can turn that review off; if they do, the company accepts that filings are submitted without review, exactly as they come out of the data it holds in SmartHub, and is responsible for that data. Who changed it and when is recorded, and it can be turned back on at any time.
Which law applies
These terms are governed by Spanish law. For any dispute, the parties submit to the courts of Madrid, unless the law imposes another venue — as it does for consumers and for employment disputes, which have their own and cannot waive it.
If this changes
When the text changes, the revision date at the top changes with it. If the change affects what you can or cannot do, we will tell you through the tool itself.
